Officer Reports
Presidents Report – Nothing new to report at this time
Vice Presidents Report – Thanking Larry and the grounds committee for a job well done at the first annual Board sponsored cookout and Easter egg hunt. Letting residents know how to properly report complaints. 1st complaint should come through the office first written and signed or though email. The office clerk will then contact the board member to set up an appointment or have the complaint taken care of. Residents should not directly contact the board member first by email or phone and expect a reply. Complaints should follow proper protocol.
Secretary’s Report– Our QuickBooks software is out of date and will become obsolete. It will cost $219.95 for 3-year upgrade and $414.00 per year. I am looking for other options at this time. I will have more options by the next board meeting. $59.95 was paid for our virus protection software on our office computer.
Treasurer’s Report– Our Reserve Account balances as of March 31st, 2018 were: South Atlantic $119,445.21, Edward Jones $358,979.49, TD Bank $99,729.67. Making a total of
$578,154.37. This reflects interest earned as follows: South Atlantic $62.22, Edward Jones
$424.46, TD Bank $21.25, making total interest $507.93. Per the Board approval at the March 2018 meeting, $7,205 was transferred from TD Bank to South State to pay JC’s Landscaping for rock for the marina road.
Peggy Phillips made a motion to transfer $50,000 from our operating account to our Reserve account to be deposited with South Atlantic Bank.. Money will go into funds as follows: 67% roads reserve, 12% drainage, 2% marina, 2% emergency, 15% canal, 2% landscaping. Bob seconded this motion. Motion carried.
We have 24 account delinquencies for this year and 32 accounts that have delinquencies carried over from previous years. Our assessments continue to come in and we will attempt to collect those that have not been received.
Committee Reports
Committees
ARC– Approval for Lot# 205 fence, Lot# 222 tree removal, Lot# 8 tree removal, Lot# 383 fence, Lot# 64 refund, Lot# 37 refund, Lot# 222 refund
Legal– Reserve study completed. It is available for review in office or online. If you have any concerns let Bob know. Currently we are a little ahead of the game with funding.
Finance– We do not have our financials at this time due to our CPA being busy with tax season. Motion made by Peggy Phillips to approve $2000 for annual audit. Motion seconded by Bob Garrison. Motion carried. People who are delinquent and had marina cards have had their marina cards cancelled.
Communications– Around 130 people attended our annual picnic and easter egg hunt. Around 40 kids of all ages attended and enjoyed the bouncy house, Thanks to Steve Vasey for grill and Butch and Steve for cooking. Thanks go out to all who participated and volunteered. This could not have happened without you all. Volunteers included Jean Hayman, Bob Buice, Bob and Nina McMahon, Nita Williams, Johanna Garrison, Dave Proctor, and Al DeMarchi. We also had Board Members, Bob Garrison, Steve Vasey, Butch Williams, Peggy Phillips and me. Might have picnic in May next year due to the weather, since it was a little chilly this early in the year if my committee and board members agree.
The web-site will continue to have more information added as our new clerk becomes more adept. Meeting Minutes still have to be approved before they are posted at this time. Financials will be published as soon as available each month. An article covering the progress of the Water Amenities Committee and their efforts to collect funds for the canal dredging has been added to the web-site.
Community Liaison– A street light is out on Patriots Court and John Greene. These were reported to Santee Electric. A complaint about a resident allowing his employees to park on vacant lot on John Greene. A letter was sent to the resident asking for this to stop. A letter asking questions about the dredging which was answered.
Welcome Committee– 3 new families welcomed into the community
Drainage– no report
Roads– There are a couple of new potholes noticed on Francis Parker and on John Greene. They are relatively minor and Adam Anderson will take care of them with cold patch. We are still waiting on bids for sign replacement.
Grounds– No flowers due to company getting flowers early and landscapers selling out due to Easter being early. Larry made motion for $1800 towards flower purchase. Adam Anderson seconded motion and it was carried. Gatehouse repairs are finished. Check received from insurance company. Contractor to be paid Friday. The brick work is outstanding and all signs of the accident have been erased. The total cost of the repairs was $14,580, all of which was paid by the insurance company minus out $500 deductible.
The LED sign at the exit of the Plantation is nearly completed. Many thanks to Dale Hayman, Steve Vasey and Bob McMahan for their efforts to mix and pour the base of the sign. Also thanks to Gene Baker of Baker Glass for his time and materials to mount the sign in the brick structure at no cost to the Association. The sign has had a trial run, but more time will be needed, to learn the complete operation to have it work properly.
Motion made by Larry McMillin for $200 for sign across top of LED sign. Seconded by Bob Garrison. Motion carried.
Water Amenities– Road done on marina turned out good. $126,300 toward dredging. Meeting with dredge on April 27th. Was giving people until May 1st, have extended deadline for dredging funds until after May for those that can’t get money to me until then.
Compliance– Compliance meeting Thursday with compliance committee.
Website Committee– Met April 16th to go over what we want to accomplish and make a list on how Facebook page will work. Then we will bring to board to discuss
Old Business- Public Comments–
Butch Williams reported Mitch Thompkins plans to have the golf course open by July 1st. Still has to kill greens and airify sprigs May 18th. Should have enough growth to still stay in line with opening on that day. Manor house will be closed April 18th for helping hands. Closed also on May 4th and 5th for a wedding.
Al DeMarchi says No dumpster on site at 490-491. Need dumpster. Asking for 624 Francis Parker potholes to be taken care of. Hole 12 camera not put up yet. People are still going through grass after in rains causing ruts. Asking Adam Anderson to reconsider using vinyl posts for signs. Recommended using product from 2 ½ years ago on gatehouse to preserve bricks.
Bob McMahan asking about pool and drainage issues on Francis Parker. Drainage on Francis Parker is being dealt with per Adam Anderson.
Vickie Beard made a comment about The Manor house and Golf course not going under board business and being placed under public comments.
